Successful Data Integration Project Streamlines Internal Processes

Earlier this month, Mauser integrated its IT and HR systems to enhance data integrity across the organization. This integration enables automatic data transfers from Oracle (the HR and Payroll employee database) to Active Directory (the IT employee database) multiple times daily, eliminating the need for manual intervention. As a result, Oracle now serves as the official system of record and the single source for all U.S. and Canadian employee information.

Aside from updates to employee information (such as name, job title, location, department, and supervisor) in applications like Microsoft and Teams, users will likely not notice much change due to this integration. However, this change offers significant benefits for downstream applications and processes by enhancing data integrity and consistency. These benefits include:

  • Improved ServiceNow onboarding process will provide easier experience for users and more accurate tracking of users and assets.
    ServiceNow onboarding involves adding new employees to IT platforms and issuing necessary equipment. By integrating with Oracle, we can streamline and standardize the process for requesting access and hardware, ensuring appropriate requests are made for new hires. Current employees should continue to submit a ServiceNow ticket to request equipment or access to programs or platforms.
  • Improved data reliability reduces the manual clean-up needed for training assignments.
    Active Directory is utilized to deliver Security Awareness Training to users. This integration will save the Compliance teams 20+ hours previously spent on data cleanup, ensuring that the correct training and reporting structures are accurately reflected in the training platform.
  • Single information source improves organizational charts, system security, and reporting capabilities.
    Having reliable data in Active Directory allows users to view accurate organizational structures in Microsoft O365 applications like Outlook and Teams. It also enables IT teams to use Active Directory for reporting and security purposes without the need for manual reconciliation and updates.

The successful launch of this integration is the result of collaboration between the IT and HRIS teams to ensure accurate source data, build workflows, and align processes. The project began in June 2024 as a logical next step after consolidating all U.S. and Canada Active Directories. With a single Active Directory in place, it became possible to implement a feed from Oracle to Active Directory. Although the current project only impacts the U.S. and Canada, the International business segment has been an integral part of the core project team to ensure future integration of international data.
